Use the audience selector to set who can see a document folder

Today, a folder in Documents can only be shown to a whole community and/or function. There's no way to give access to specific people, to an organisation group, or to any other selection. Events, surveys, forms and courses already use the audience selector, which can do much more.

Desired solution:

Document folders use the same audience selector as the rest of the platform. Everything it can filter on works for folders too:

  • Specific users

  • Communities and functions, like today, including primary community and primary function

  • Default and custom user properties

  • Community properties

  • Activity in other modules: membership of an organisation group, finishing a course, attending an event, filling in a survey, completing onboarding

Filters can be combined, and the audience stays up to date. Someone who joins the group or finishes the course gets access to the folder. Someone who leaves loses it. Folders that are set up today keep the visibility they have.

Impact:

  • Admins can share a folder with exactly the people who need it, without creating a community or function just for that

  • Admins choose people the same way everywhere, so documents don't work differently from the rest

  • Access follows changes in groups and in module results, with no manual upkeep

Use cases:

  • A folder for the Store Managers function plus two regional HR advisors

  • Documents shared with the members of an organisation group, not only with communities or functions

  • Advanced training material only for people who finished the introduction course

We've rewritten this request and widened the scope. Folders won't get a separate "specific users" option. Instead, they'll use the same audience selector as events, surveys and courses (see this request). That includes picking individual people. It also covers organisation groups, user properties and activity in other modules, which came up in the comments here. Folders that are set up today keep the visibility they have.
